Manager checklists
Five checklists that make up the work with a client
From the first message to the review after the trip. This is what tour-sales trainings teach and what has been running in our agency for a year. Use it for free — and see below how the bot walks the same checklists on its own.
21×
higher chance of a deal if you answer within 5 minutes instead of an hour
Harvard Business Review: replying within an hour raises the odds 7×, within 5 minutes — 21×. The average business reply to an enquiry is 47 hours.
01
The first 5 minutes
- Reply within 5 minutes in working hours; at night — auto-reply and collect the contact
- Introduce yourself, name the agency, confirm what the enquiry is about
- One question at a time — no ten-field forms
02
Qualification: what to learn before quoting
- Destination or 'anywhere warm', resort, hotel — if any
- Exact or flexible dates, how many nights
- Party: adults, children with ages
- Departure city
- Budget: total or per person, 'up to' or 'around'
- Stars, beach line, meal plan
- Purpose: beach, sightseeing, celebration, with kids
- What they liked and disliked on previous trips
- Passports for everyone, validity, visa needed?
- Special needs: allergies, stroller, early check-in
- Name and phone or messenger
- Where to send the quote and when to call
03
After the quote: get to the booking
- The quote is sent within an hour
- Next contact agreed with a date — a task in the CRM
- Touches after 1, 3 and 7 days; silent for two weeks — to 'dormant'
- Ready answers to 'too expensive', 'let me think', 'cheaper elsewhere'
- The CRM holds the outcome, the need, the agreement or the reason for refusal
04
Booking and documents
- Names in Latin as in passports, birth dates, passport numbers and validity
- Visa and transit, insurance including trip cancellation
- Transfer: flight number, arrival time, child seat, luggage
- Contract, invoice, payment; voucher and tickets sent and confirmed by the client
05
Before departure and after return
- 3 days before: documents, check-in time, country memo
- On departure day: 'have a good flight' and the host contact
- 3 days after return: a review and plans for the next trip
- The next touch date is in the CRM
The bot can be set up to work exactly like this
The sales bot replies in 2 seconds around the clock and walks checklists 1 and 2 on its own: one question at a time, no forms. In the panel you tick what the bot must find out, and the lead reaches the manager with marks — what is known and what is not. Checklists 4 and 5 are handled by the Mail Secretary, and Chat Analytics shows whose checklists stay open.
